Job description: We have a rare opportunity for an exceptional candidate to fill the role of Executive Assistant .

Summary: Provides support and assistance to the president by managing his/her time, functioning as administrative and clerical support, often working with confidential and complex data, reports, correspondence. Promotes the Bank’s professional image with customers, employees, vendors, and directors/corporators. Manages donation submissions, approval process, and communication. Functions as a liaison internally between the president and key executives, customers, and employees and externally with customers, vendors, and community organizations.

Responsibilities include the following; however, other duties may be assigned as dictated by business need:

  • Demonstrates understanding of and commitment to the Bank’s ongoing mission, vision, and core values.
  • Represents the president by welcoming visitors, reviewing correspondence; assisting clerk with corporator and director meetings and other corporate functions; answering questions and meeting requests directed to the president.
  • Answers phones, files and manages paperwork flow, sorts, distributes and responds to email and hard copy mail, purchases office supplies. May prepare reports and other confidential materials, track and manage president expenses and executive budget.
  • Submits Banktel invoices and expense reports.
  • Manages donation recommendations and communication for the Bank, collaborating with marketing, market leaders, and the president.
  • Ensures that difficult situations are brought forward to the president as appropriate; resolves and follows up with appropriate personnel on issues brought forward to the president’s office.
  • Manages calendar and time; ensuring that the president has allocated travel time, meeting information, and details in advance.
  • Serves as a liaison between the president and internal/external contacts.
  • Arranges corporate travel and meetings by developing itineraries and agendas; scheduling travel arrangements, booking other transportation; arranging lodging and meeting accommodations.
  • Edits, with the president’s approval, internal and/or communications in the president’s name.
  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining the cooperation of others; monitoring progress; problem-solving; and adjusting plans.
  • Attends and participates in Leadership Team Meetings and takes minutes; attends Monthly Managers/Officers Meetings and takes minutes.
  • Enhances the president’s and Bank’s reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value and operating.
  • Performs additional duties, including personal requests for the president as needed.
  • Minimum of high school education with 10+ year’s prior experience in a corporate business environment.
  • Demonstrated experience with Microsoft applications including Outlook, Word and Excel, skilled with using web-based applications and internet research capability.
  • Professional demeanor and professional maturity required for working closely with customers, employees, vendors, regulators, board of directors and corporators.
  • Ability to handle sensitive materials and information with integrity and confidentiality is critical to this role.
